Forward-deployed in mission-driven & nonprofit
More of every hour, spent on the mission.
We build AI into the grants, fundraising, and program systems you already run, so a lean team spends its hours with funders and the people it serves. We reserve a standing share of capacity each season for mission-driven organizations, at reduced or at-cost rates.
Where the hours go
- Grants written from scratch
- Reports stitched by hand
- Stewardship that slips
- Case notes after hours
What a pod builds
- Grant prospecting and drafts
- Funder report assembly
- Donor stewardship
- Program data and impact
What gets measured
- Hours per grant application and funder report
- On-time funder reports
- Days from gift to acknowledgment
- Donor retention rate
What is different here
Mission-driven organizations often hold records on people who cannot afford a mistake (survivors, children, patients, families in crisis) and answer to funders who expect every dollar accounted for. AI here must honor consent and confidentiality rules written for exactly those clients, stand up to a 2 CFR 200 single audit once federal award spending reaches $1 million a year, and fit staff and budgets already stretched thin.
I / Where the hours go
What we look for first.
Grants written from scratch
Each application restates the same history, outcomes, and budget in a new format and word limit, and prospect research happens in the gaps between deadlines.
Reports stitched by hand
Funder reports pull numbers from the CRM, the case system, and spreadsheets that disagree, so program staff reconcile data when they should be running programs.
Stewardship that slips
Thank-you letters wait, mid-level donors hear only appeals, and lapsing supporters are noticed at year-end, when the list is pulled for the next ask.
Case notes after hours
Caseworkers finish notes and referrals in the evening, and the next worker inherits a long file with no summary of what matters.
II / What we build
Systems, not slideware.
Grant prospecting and drafts
Matches programs to funders in Instrumentl or Candid and drafts applications from past proposals, within each funder’s rules on AI, for your grants lead to rewrite and submit.
Funder report assembly
Pulls outputs and outcomes from your CRM and case system into each funder’s template, drafts the narrative, and links every number to its record for a program lead to verify.
Donor stewardship
Drafts acknowledgments with the statements the IRS requires for gifts of $250 or more and quid pro quo payments over $75, and flags lapsing donors for a gift officer to call.
Program data and impact
Deduplicates participant records, fills gaps from the original intake forms, and reconciles outputs against your logic model, so reported impact rests on checked data.
Case-note summaries
Drafts case notes from dictation, with client consent, and summarizes long files before each visit in Apricot or Salesforce. Every note is approved by the caseworker who owns it.
Volunteer coordination
Matches volunteers to shifts by skill, availability, and required clearances in Galaxy Digital’s Get Connected or your CRM, sends reminders, and offers dropped shifts to a standby list.
Allowable-cost review
Checks each charge to a federal award against the 2 CFR 200 cost principles, as revised in 2024, and the award budget before it posts, holding questionable costs for the finance lead.
Board materials
Assembles the board packet from financials, dashboards, and committee notes, and drafts the summary and minutes for the secretary to correct. Decisions, and the approved record, stay with the board.
III / A first vintage
Grant drafts and funder reports
First production deployment, Six to ten weeks
A pod builds a sourced library from your past proposals, budgets, and outcomes, connects drafting to your CRM and case system, and runs it beside your grants team for four weeks of live deadlines before it writes first drafts.
Judged by
Hours per application and report, on-time submissions, and how much of each draft the grants lead keeps, all judged against the hours and deadlines the Survey logged.
An illustration of a first deployment, not a description of a past client.
IV / What we measure
Baselined before we build.
- Hours per grant application and funder report
- On-time funder reports
- Days from gift to acknowledgment
- Donor retention rate
- Program data completeness and error rate
- Caseworker documentation hours
- Questioned costs and single-audit findings
Set during the Survey and reported every season after.

V / Guardrails
Where people stay in control.
Protection for people served
Client records stay in your case system under role-based access, no conversation is recorded without informed consent, and we design to HIPAA, 42 CFR Part 2, and VAWA confidentiality where they apply.
Donor trust kept
Donor records never leave your tenant or train any model outside it, opt-outs carry into every list exchange, and we design to GDPR and to state privacy laws, such as Oregon’s, that reach nonprofits.
Impact claims you can show
Every outcome in an appeal, report, or board deck links to the record behind it, and a program lead approves it. Nothing is extrapolated past what the data supports.
Readable by everyone
Websites, apps, and posted documents are built to WCAG 2.1 AA, the level HHS’s Section 504 rule requires of larger funding recipients from May 2027. Translations are checked by a fluent reader.
